Lettings Process

Initial Market Appraisal

What is maximum rent, in the current market and in its current condition that a tenant is willing to pay?

A little bit of homework can give you an idea of what the right rent is for your property.

So firstly you need to ask yourself:
  • What improvements do I need to make to my property to achieve the maximum rent ?
  • Does my property need a professional clean ?
  • What's the going rate in the local area ?
  • How much do you need to cover your mortgage and other expenses ?

To get a professional opinion on where to set your rent please get in touch with us. We will appraise your property free of charge and without any obligation based on empirical evidence.

Advice on presentation

To get the best price rent, it is not just about location, location, location but also presentation, presentation, presentation!

Most humans are born with five senses – sight, sound, smell, touch and taste – so use them!

Sight

Does your property need a professional clean or even a “lick” of paint? Does the tread bear carpet need replacing?
Do the bathroom/kitchen tiles need a re-grouting or re-sealing around the bath units?

Sound

Is your property next to a busy road or building site? Do you have boisterous children?
Think about taking the kids out during viewings, invest in secondary/double glazing and find out when the construction site is due to complete.

Smell

Do you have pets? Do you smoke? Do you cook a lot?
These may be pleasant to your nose but other people may think otherwise.

Touch

Are the kitchen surfaces greasy to touch? Is the bathroom grubby?
Does the property feel too cold? – During the winter, don't switch off your heating all together. Set the timer for the heating to come on for a couple of hours during the day.

Taste

A nice bottle left in the fridge of a property for a new tenant is always welcoming!

Arrangement of safety checks if required

As a landlord, you have an obligation to ensure that your property complies with all the necessary regulations covering the safety of gas appliances, electrical installations and any furnishings supplied for the tenancy.

Here our expertise really comes into its own. Some of the areas where you might need our advice are:

  • Does that sofa you bought twenty years ago comply with fire and furnishing regulations?
  • Will your cosy gas fire in the sitting room pass the Corgi landlord's Gas Safety Certificate?
  • Do you need an electrical safety certificate?
  • What are the rules on testing your toaster…?
  • What is part P of the building regulations?

We can arrange all the necessary checks for your property with suitably qualified and insured contractors making sure you are fully compliant with the law and aren't risking any hefty fines or worse, someone's life further down the line.

Bespoke marketing strategy

We will also coordinate a bespoke marketing campaign, taking into consideration all national and local advertising. Furthermore, we have a highly skilled in-house marketing department who will make full use of all editorial opportunities.

First impressions count! Upon instructing CityWest Residential your property will be visited by a professional photographer who will take high quality photographs and prepare a floor plan.

Next, with our awareness and expertise in property marketing we will work with you to devise a marketing plan best suited to your property to ensure your property is seen by the right people.

As well as our innovative and stylish website, which features floor plans, professional photographs, aerial views and local information, we'll advertise your property using traditional media such as newspapers and magazines, as well as the latest property web portals, including Primelocation, Rightmove, Propertyfinder, Findaproperty, Globrix and Gumtree amongst others as well as our in-house publication, CityWest News

Accompanied viewings

We'll show prospective tenants around on your behalf and we'll make sure it's convenient for you and for any current tenants. It's always best to show off a property in daylight, but evening viewings are no problem.

Submission and reporting of references

Experience tells us to never judge a book by its cover, which is why we use professional referencing services to ensure we place only the best tenants into your property.

What's more, we believe that we are not just dealing with bricks and mortar, but your home. Therefore, we actively welcome your input in selecting the best tenants for your property. We will give you the opportunity to meet your prospective tenant too.

Preparation of inventory/schedule of condition where required

Did you know that it is almost impossible to deduct any damage from a tenant's deposit without an independent inventory check-in and check-out report in place?

The inventory and schedule of condition, records the contents and condition of your flat or house at the point when your tenants move in. More and more deposit dispute cases are being lost by landlords because they do not have a proper inventory and schedule of condition drawn up at the beginning of the tenancy.

Because it's so important that this is impartial, we recommend a specialist inventory company. They will give you and your tenant a copy of the inventory, and will do another inspection at the end of the tenancy to check that nothing's missing or damaged.

Should you lose your copy, you can download further copies 24/7 from our website.

Preparation of tenancy agreement

To achieve a smooth running tenancy it is essential to have a professional agreement in place. We will draw up the relevant paperwork based on years of experience, ensuring all the necessary documents are signed by both parties.

Collection and registering of the security deposit

Did you know if you get this wrong, you could be fined up to three times the amount of the deposit and you will not be able to regain possession of your property?

We hold all deposits as a stakeholder and, where applicable, will register the deposit with a deposit protection scheme, in a timely manner.

Arrangements for your future rent payments

We will set up a standing order with the tenant's bank to pay the rent electronically and transfer this to your UK bank account.
